Administration & Development Director

Job Summary:

The In-Sight Photography Project is a nonprofit organization teaching photography to youth ages 11-18. Located in Brattleboro, Vermont, In-Sight empowers youth, through photography and other arts, to find their own creative voices and to communicate their unique visions. All programming provides artistic tools for aesthetic and personal exploration while building self-confidence and critical thinking. This is a leadership role in a small organization and requires a team-oriented, hands-on approach, and a willingness to take on a variety of tasks both large and small.

The Administrative and Development Director is responsible for maintaining strong external relationships through building partnerships with community groups, funders, and other organizations to achieve the mission and goals of In-Sight. The person in this position must enjoy working with young people and with the public, be an excellent communicator, a strong advocate for the organization, a skilled manager and motivator as well as be creative, enthusiastic, well-organized, and detail-oriented.

Leadership Structure:

  • The Administrative & Development Director reports to the Executive Committee of the Board of Directors.

  • The Administrative & Development Director and the Program Director share the overall leadership responsibility for the organization.

Job Purpose:

  • Oversee the financial sustainability and day-to-day administration of the In-Sight Photography Project, coordinating with the Program Director as needed to ensure consistency across the organization.

  • Act as a public face of In-Sight to the Brattleboro community and beyond.

  • Coordinate with the Program Director to plan and implement community outreach initiatives.

Responsibilities & Duties:

Leadership Duties

  • Maintain a positive, mutually supportive, and collaborative work environment.

  • Present an enthusiastic image of In-Sight to the community.

  • Work with the Program Director to bolster community partnerships and relationships.

Administrative & Fiscal Duties

  • In conjunction with the Program Director, determine the financial components required to achieve outlined annual and special program goals.

  • Coordinate with the Program Director and Board to finalize the annual program and resource provisions and budget, and present the proposed budget at Q4, or at a designated board meeting.

  • Handle all administrative tasks, including but not limited to: correspondence, invoices, budgeting, licensing, bank accounts, digital footprint and media, supply ordering, grant applications, and year-end accounting coordination.

  • Work alongside the bookkeeper to maintain financial records, balance revenue, and track income, donations, and expenses.

  • Work with the Board Treasurer to develop an annual budget for approval by the Board; report on the budget monthly at Board meetings.

  • Maintain and update digital archives and databases.

  • Oversee HR needs such as payroll and benefits; maintain internal systems of process such as employee handbooks and procedures.

  • Contract third-party vendors and agents as needed.

  • In conjunction with the Program Director, maintain the supplies and equipment needed to achieve In-Sight programs.

  • Assist the Program Director in maintaining the In-Sight Photography facility and communication with our co-op neighbors.

  • Supervise any non-programmatic related staff and interns.

Development

  • Identify and secure sources of revenue, including but not limited to grants and donations.

  • Maintain donor records and donor relationships.

  • Work with the Program Director to identify income-generating programs.

  • Develop and explore all promising revenue sources through applications, social media, correspondence, meetings, and community outreach.

Skills:

  • Strong written, oral, and interpersonal communication skills.

  • Proficiency with digital database management software.

  • Proficiency with social media marketing and engagement preferred.

  • Innovative.

  • Basic financial and bookkeeping skills.

  • Ability to operate a computer with all required software.

  • Excellent problem-solving skills and the ability to take ownership and drive responsibilities through to completion.

Experience & Education:

  • Prior experience in youth organizations is required.

  • Minimum 3 years experience within non-profit organizations.

  • Basic familiarity & experience with photography.

  • Minimum 2-years experience with budget development and management.

  • Demonstrable experience with fundraising, including grant writing.

  • Bachelor’s degree required.

  • Master’s degree and/or advanced training in non-profit administration or management preferred.

Position Details, Compensation, & Benefits:

  • Full-time, salaried position.

  • Flexible schedule with work on some nights and weekends required for pre-scheduled events.

  • Work out of the In-Sight Photography Project location at 183 Main Street, Suite 3, Brattleboro with an option to work 25% from home.

  • Valid driver’s license and access to transportation are required as regional travel may be needed at times.

  • All public spaces, including classroom, darkroom, digital lab, and restrooms are at street level and wheelchair accessible. During non-class periods staff frequently work in these public spaces. Additional work and storage spaces are on a lower level which is accessible only by use of stairs.

  • Able to tolerate darkroom-related chemicals and smells.

  • Compensation of $50,000 per year to begin.

  • Benefits include: optional healthcare stipend, 10 paid holidays plus 7 days paid time off during the holiday period, optional employer match up to 3% of annual salary through simple IRA, mileage reimbursement for approved program-related travel, professional development reimbursement up to $750 with Board approval. 25 personal days after six months, with a graduated scale. Town parking permit.
